The following table contains a list of User Permissions in NextStep Clinical and their definitions. It is important to note that your Agency may have slightly different naming conventions for some permissions than what is listed below. If you cannot find a User Permission and its description, please contact NSS Support.

User Permission | Description |
Restrict client access based on user's case assignments | This process permission restricts a user to only view/search clients that are included in their case assignments. |
Face Sheet | Allows users access to the Face Sheet to create a new client ID, add client demographics, change their Location, and admit a client. |
Bed Management | Allows users the ability to manage beds for Residential programs. |
Transfer Forms-Discharge Forms | Allows users to transfer a client's program (ex. IOP to OP); fully discharge a client from the Agency. |
Phone Calls | Allows users to enter new phone call details, search phone call/details, and print weekly reports. |
Case Assignments | Allows users access to a list of clients and which users they have assigned to them. |
Patient List | Allows users to search for clients with specific Problem List, Medication List, Medication Allergy List, Demographics, and/or Communication Preferences details. |
Enrollment | Allows users to either enroll a client into a program or enroll a new client into a pending status. |
Payment Center | Allows users to take a client's credit/debit card payment via SwervePay. |
Initial Assessment Forms | Allows users access to Forms that are completed once and typically within a certain time frame from admission. |
Scheduled Forms | Allows users access to Forms that are completed a specific time intervals. Once completed, the time interval resets. |
Unscheduled Forms | Allows users access to Forms that can be completed at any time and/or repeatedly. |
Follow-Up Forms | Allows users access to post-discharge Forms. |
Pending Web Forms | Allows users access to Forms completed by clients that were sent as Web Links. The user can attach the Forms to a client. |
Intake Forms | Allows users access to forms that need to be completed prior to a client being admitted. Data from the Forms can be pushed to the Face Sheet. |
MOST Interactive | Allows users access to the MOST (Measure of Success Tracking) interactive tool. |
Individualized Treatment Plan (ITP) Wizard | Allows users access to create a client's Treatment Plan. |
Problem List | Allows user access to a list of a client's identified problems that are to be addressed within the ITP Wizard. |
DSM-5 | Allows users access to the Diagnosis widget that contains DSM-5 and ICD-10 codes. |
Medication Plan | Allows users access to the ePrescribing module (DrFirst) and to write a note for prescribed medications. |
Medication History | Allows users access to a view-only list of prescribed client medications and allergies. |
MU Problem List | Allows users access to the Meaningful Use Problem List. |
eMAR | Allows users access to eMAR (electronic medication administration record). |
Telehealth Dashboard | Allows users access to the Insig Telehealth platform, if contracted for the feature. |
Order Queue | Allows users access to med orders in eMAR. |
Chart/Progress Notes | Allows users access to chart on a client's Outcomes, Goals, and Objectives as identified in the Treatment Plan. |
Medical Notes | Allows users access to Medical Notes to track clients' vitals and medical information. |
Misc Notes | Allows users access to Misc Notes to notate information that does not fit into another Note type. This type of Note can be filled out pre-and post-admission. |
Care Logs | Allows users access to Care Logs to record expected behaviors or daily activities for a single client. This is used in a Residential setting. |
Group Notes | Allows users access to Group Notes where they can create/modify Groups and enter notes from a Group session based on the client's Treatment Plan. |
Checklists | Allows users access to record bed checks or hourly rounds for multiple clients at once. This is used in a Residential setting. |
Census Billing | Allows users access to enter and seal the daily census. This is typically used in an Inpatient/Residential setting. |
Administrative Reports | Allows users access to Supervisor-level reports. |
Document Center | Allows users access to the Document Center which is a "chart" and contains details of the client's record, broken down by episode of care. |
Reports | Allows users access to staff-level reports. |
Personal Productivity | Allows users access to a report to compare the user's performance to the Agency as a whole. |
Export Form Data | Allows users access to export data from forms into a CSV file. |
Report Designer | Allows users access to the Report Designer, where users with database/SQL experience can build or modify reports. |
eMAR Reports | Allows users who have eMAR enabled, access to eMAR specific reports. |
System Setup (Supplemental) | Allows users access to the Admin tool to control additional systemwide settings. |
Treatment Plan Template Setup | Allows users access to the Admin tool to modify Treatment templates and add new/edit programs. |
Medication Setup | Allows users access to the Admin tool to modify the Medication Plan such as adding/editing medication categories, medications, and symptoms. This is only for Agencies who are not using DrFirst for ePrescribing. |
Care Log Setup | Allows users access to the Admin tool to create/modify Care Logs. Care Logs are typically used in a Residential setting. |
Form Builder | Allows users access to the Admin tool to create/modify Forms. |
Header Setup | Allows users access to the Admin tool to create/modify headers on different screens in the software. |
Report Menu Setup | Allows users access to the Admin tool where Report menu options can be managed and dashboards and reports can be organized. |
System Setup | Allows users access to the Admin tool to control systemwide settings. |
Review and Sign | Allows users access to the Admin tool that displays Forms/Treatment Plans routed to the user that still need to be signed. |
Note Builder | Allows users access to the Admin tool to add/modify fields for different Note types. |
Sign Multiple Notes | Allows users access to the Admin tool where they can search for and sign multiple Notes at once. |
Referral Source Management | Allows users access to the Admin tool to add/modify/delete referral sources that users entered into the Face Sheet. |
Copy Auths | Allows user access to the Admin tool to copy an Authorization or Authorizations to all clients, active clients, or select clients. |
Ability to Pay Setup | Allows users access to the Admin tool to set up an ability to pay (ATP) table with information that calculates the client's % of responsibility. Note: the ATP amount can be manually added to the Billing Engine under Client Insurance. |
Bed Setup | Allows users access to Admin tool to modify buildings/rooms/beds for Client Locations. This is typically used in a Residential setting. |
Case Role Setup | Allows users access to the Admin tool to create new Face Sheet Case Role drop-down selections and teams to handle client cases. |
Scheduler Profiles | Allows users access to the Admin tool to set up a user to see a resource or profile and modify resources available to a profile. |
Form Category Setup | Allows users access to the Admin tool to manage and create categories where Forms are located. |
Dispensing - Setup Medications | Allows users access to the Admin tool to view and set up medications that are to be dispensed in the Dispensing Module. |
Billing Tasks | Allows users access to the Admin tool that acts as an audit trail indicating situations in which information had been changed in the Clinical site after it was previously sent to the Billing Engine. Agencies can use this report to identify items that were changed in Clinical and need to be adjusted in the Billing Engine. |
Medication Titration Template Setup | Allows users access to the Admin tool to set up medication titration templates that are sent to eMAR after prescribing a medication with a template created. |
Group Note Correction | Allows users access to the Admin tool to correct Notes after they have been signed and sealed. |
CCDA Reconcile | Allows users access to reconcile medications, allergies, and problem sections of incoming CCDAs sent via Direct Messaging with a client's existing data in NextStep. |
Alert Management | This Dispensing permission allows users in the Clinical site to access and modify Alert Management for a client. |
Dose History | This Dispensing permission allows users in the Clinical site to review Dose History in the current and active dose order. |
Dispensing Settings | This Dispending permission allows users in the Clinical site to change alert types, frequencies, and screenings. This is typically a permission assigned to Administrators. |
Incident Reporting | This Dispensing permission allows users in the Clinical site to enter an incident report tied to the Dispensing Module. |
Confirm Auths | This process permission allows users to confirm Authorization information be sent from Clinical to the Billing Engine. |
Correction enabled | This process permission allows users to unseal, delete, or move Forms/Notes in the Document Center. This permission is recommended only for Admin/Supervisor users. |
Add Referral Sources enabled | This process permission enables a user's ability to add referral sources on the Face Sheet, as opposed to having to select one from the drop-down menu. |
Enable to Add/Edit/Delete Client Insurance | This process permission gives users the ability to modify client insurance records in the Insurance (Billing) widget. |
Disable Reminders List | Disables a user's Reminders List screen that displays when logging into NextStep Clinical. |
Review Medications | This eMAR permission allows users to review medications that other staff members have entered into the Medication Plan. This is typically enabled for someone that has final approval over eMAR medication entries. |
Pass Correction | This eMAR permission allows users to change the details of a medication pass such as the time that it was passed, who passed it, and what type of medication. |
Manage Audit tags, persons, roles | This MOST Interactive permission allows users access to manage audits, the people who are set up with MOST, and roles. The user is able to view audits which are an evaluation of a specific Provider/Service/chart in which one or more question sets are included and those questions are answered. |
Run/View Organization-wide Reports | This MOST Interactive permission allows users the access to run or view organization-wide reports. |
Create/Edit Questions/Sets | This MOST Interactive permission allows users to create/modify questions and sets within MOST Interactive. |
Post Orders | Allows users to post Orders in Dispensing. This Dispensing Module permission is turned on in the Clinical site but dictates what the user can do in the Dispensing Module. |
Can Acknowledge Orders | Allows users to acknowledge Orders in Dispensing. This Dispensing Module permission is turned on in the Clinical site but dictates what the user can do in the Dispensing Module. This is typically enabled for Providers. |
Can Add/Edit UDS | Allows users to add/edit UDS (screenings) in Dispensing. This Dispensing Module permission is turned on in the Clinical site but dictates what the user can do in the Dispensing Module. |
Can Delete Clinical UDS Results | Allows users to delete Clinical UDS results under the Screenings tab. This Dispensing Module permission is turned on in the Clinical site but dictates what the user can do in the Dispensing Module. |
Refund Payments | This Payment Center (Swerve Pay) permission allows users to refund payments made by the client in the Payment Center. |
Add Recurring Payments | This Payment Center (Swerve Pay) permission allows users to set up a payment plan for a client. |
Stop Recurring Payments | This Payment Center (Swerve Pay) permission allows users the ability to stop a payment plan for a client. |
Disable finalization for Chart/Progress Notes | This Note permission restricts a user from finalizing Chart/Progress Notes. The user will not see the Enter Charts (Final) button in Chart/Progress Notes. |
Disable finalization for Medical Notes | This Note permission restricts a user from finalizing Medical Notes. The user will not see the Enter Note (Final) button in Medical Notes. |
Disable finalization for Misc Note | This Note permission restricts a user from finalizing Misc Notes. The user will not see the Enter Note (Final) button in Misc Notes. |
Disable finalization for Group Notes | This Note permission restricts a user from finalizing Group Notes. The user will not see the Enter Charts as Final button in Group Notes. |
Disable finalization for "Custom Note Name" | This Note permission restricts a user from finalizing a Custom Note if your Agency uses them. |
Enable to Stop Medications | This process permission allows users to stop a medication in the Med Plan. If enabled, the Stop Medication button is displayed. It is recommended for Agencies who use DrFirst/ePrescribe to disable this permission for users since this feature is intended for the non-ePrescribe Medication Plan. |
Enable to Edit Medications | This process permission allows users to edit a medication in the Med Plan. If enabled, the Edit Medication button is displayed. It is recommended for Agencies who use DrFirst/ePrescribe to disable this permission for users since this feature is intended for the non-ePrescribe Medication Plan. |
Enable to Override Medications | This process permission allows users to override a medication start and stop date in the Med Plan. If enabled, the Override Start Date and Override Stop Date buttons are displayed. It is recommended for Agencies who use DrFirst/ePrescribe to disable this permission for users since this feature is intended for the non-ePrescribe Medication Plan. |
Enable to Accept or Deny a proposed amendment to form or note (user caseload) | This process permission allows the user to accept or deny amendments to a Form or Note and add reasoning associated with the selection. A user can only accept or deny amendments for their caseload. |
Enable to Accept or Deny a proposed amendment to any form or note (all clients) | This process permission allows the user to accept or deny amendments to a Form or Note and add reasoning associated with the selection. A user can accept or deny amendments proposed by any user for any client. Note: If the user has this permission selected, then the permission, Enable to Accept or Deny a proposed amendment to form or note (user caseload), should be deselected. |
Enable to Allow or Prevent a note from going to the Portal | This process permission allows the user to prevent a note from being sent to the Client Portal. If the user is given this permission, they will be presented with a window to select Yes or No, and if No is selected, the user will be required to enter the reason they are preventing the note from going to the Client Portal. |
Billing Reports | This Practice Management permission allows users in the Clinical site to run Billing Reports. |
Client Search | Allows users access to the Client Search feature. Note: If the permission does not display in Maintain Users, contact NextStep Support to provide your Agency with the Client Search Main Menu Setup. |
IBHRS Linker-Unlinker Tool | Allows users access to the Admin tool to review and modify IBHRS Care Statuses associated with Notes. |
